How to store documents on a file share server

A network file share is still the backbone for many offices. It only stays trustworthy if structure, permissions, and backups are boring and consistent.

Use a shallow tree: Company → Department → Year → Project (or Client). Avoid deep personal Desktop dumps mirrored to the share. Every folder needs an owner in the description or a README — orphaned trees are where invoices and contracts disappear.

Name files for humans and search: YYYY-MM-DD_client_doctype_v01.pdf beats scan001.pdf. Prefer PDF for locked records and DOCX/XLSX for work-in-progress. Convert scans to searchable PDF (OCR) before archiving so the share is actually searchable.

Permissions: grant groups, not individuals; deny Write on archive years; keep Finance and HR on separate shares. Turn on access-based enumeration if your platform supports it so people only see what they can open.

Backup is not optional: nightly snapshots plus an offline or immutable copy. Test a restore quarterly — a share that cannot restore a deleted GST invoice folder is not storage, it is hope. Pair the share with a short deletion window for working copies and a clear retention rule for tax years.
