Weekly document maintenance for cloud drives

Cloud drives fill up quietly. A 15-minute weekly pass prevents permission leaks, duplicate PDFs, and “final_final_v7” chaos.

Monday scan: sort by Modified and review anything shared externally in the last seven days. Expire “anyone with the link” shares that were only for a one-time send. Move closed projects out of My Drive into a team library with retention labels.

Deduplicate: same invoice uploaded as photo, PDF, and Word is three copies and three search hits. Keep one canonical PDF (OCR’d if scanned) and remove drafts once the signed version exists.

Quota and large files: compress oversized PDFs before they sync to every laptop. Batch-convert legacy DOC files to DOCX or PDF so mobile apps open them reliably.

Close the week with a restore drill on one unimportant folder. If recycle bin restore fails or retention wiped it early, fix the policy before tax season — not during it.
