AI document formatting: what actually works

AI is useful for messy text and summaries. Faithful page layout — fonts, margins, tables — still belongs to dedicated converters more often than chatbots.

Generative models shine when a scanned PDF has broken line wraps, repeated headers, or you need a short summary of a long contract. They are weaker when you need a print-identical PDF from a DOCX with complex tables — that job still favors LibreOffice-class engines.

A practical pipeline: convert first (Word ↔ PDF, OCR to searchable text), then optionally run AI cleanup on the extracted text or a draft DOCX. Mixing “rewrite the whole PDF with AI” and “keep legal pagination” usually fails.

For invoices and forms, prefer structured extraction (GSTIN, HSN, totals) over free-form AI prose. Structured columns in Excel beat a paragraph that almost got the tax right.

If you try AI formatting, keep a human checkpoint: compare page count, heading levels, and table column counts against the source. Ship the AI pass as a draft, not as the archive copy.
